WhatsApp groups or team chat: which should run your company's internal communication?

Updated November 2, 2026

A pair of walkie-talkies.

The short answer

WhatsApp groups are fine for a small, stable team sharing quick updates nobody will need to find later. A dedicated team chat fits better once staff change often, customer data or decisions pass through chats, or the company needs control over access and history. WhatsApp accounts run on phone numbers, usually the employee's own, and its Business App terms say those services are not intended for intra-company usage. Move one team at a time, and keep WhatsApp for customers and suppliers.

Key takeaways

  • WhatsApp groups suit small teams, short-lived coordination and people outside the company who will never have a work login.
  • When someone is added to a regular group, every member can see their phone number. WhatsApp communities limit who sees it.
  • Removing a member does not clear a group from other members' devices, so plan as if a former employee keeps what they already received.
  • WhatsApp's Business App terms say those services are "not intended for intra-company usage", so read the terms and ask an adviser how they apply to you.
  • A move works best one team at a time, starting with what people already need to open, and with WhatsApp kept for outside contacts.

Should a company use WhatsApp groups or a dedicated team chat?

It depends on what the chat has to hold. A WhatsApp group works well when a small team needs quick coordination and old messages stop mattering by next week. A dedicated team chat fits better when messages become company records: who agreed to what, which file is current, and who may see it.

You do not have to pick only one: WhatsApp can stay for people outside the company while staff use team chat. The main differences:

  • Getting started: your staff probably have WhatsApp already. A team chat needs accounts, roles and some training.
  • Identity: WhatsApp accounts register with a phone number, and members of a regular group see each other's numbers. Team chat usually runs on work accounts the company creates.
  • Staff changes: on WhatsApp, an admin removes the person from each group. In a team chat, an admin usually removes one work account.
  • History: a WhatsApp group's past messages stay on members' devices. A team chat usually keeps history in a shared workspace, so ask each vendor how long it keeps it.
  • Reach: WhatsApp reaches suppliers, drivers and contractors. Team chat usually covers only people inside your workspace.
  • Privacy: WhatsApp says personal messages are end-to-end encrypted, so only the people in the chat can read them. Team chat products differ on this, and many are built so the company can manage its data, so ask what yours does.

When are WhatsApp groups good enough?

WhatsApp groups are good enough when losing an old message costs little and everyone already knows each other. They are a capable tool: groups hold up to 1,024 members, you can search by keyword or date, and members can send new joiners earlier messages if admins allow it. If number sharing is the only concern, WhatsApp communities limit a member's number to community admins, people who saved them as a contact and people who have the number from other chats.

These are the cases where we would leave a group alone:

  • A small team at one site, such as a shop or workshop, where people have shared their numbers already and are happy with that.
  • Short-lived coordination: a stock count, an exhibition stand or one busy delivery week.
  • Quick alerts that are useless by tomorrow, such as a truck running late or a gate being closed.
  • Outside contacts, such as a supplier's driver or a contractor, who will never have a login in your company's system.
  • Friendly staff chat that has nothing to do with work and does not belong to the company.

Where do WhatsApp groups start to fall short?

Groups start to fall short when the company relies on them as its record of work. None of this is a defect in WhatsApp. These are the results of using a phone-based messaging app for a job that needs company-wide control:

  • Personal numbers: WhatsApp says a phone number is needed to register, and that all members of a group see your number when you are added. A new hire who joins the sales group gives a private number to everyone in it. WhatsApp announced usernames in June 2026 and says they are rolling out gradually, so check what is available in your country.
  • Leaving staff: an admin has to remove the person, group by group, so someone must remember every group they were in. WhatsApp says removing a member does not delete the group from other members' devices. Its page does not describe clearing a group from the removed person's phone, so plan as if they keep what they already received. Their name and number also stay in the Past members list for up to 60 days.
  • Admin handover: if the only admin leaves, WhatsApp picks another member at random as the new admin. That person may be the most junior member of the team.
  • Search: keyword search works well on what you have. The gap is what you never received. A new member starts without earlier messages unless someone sends message history, and the sender chooses how many messages go across. Messages that already disappeared are not included.
  • Files: documents arrive as messages, so the current price list is whichever copy someone posted last. WhatsApp's Media view shows documents, links and media received across chats in the past 14 days, and each chat has its own list. You still have to work out which version is right.
  • Work and personal life: work groups sit between family chats on the same phone. Staff may mute a noisy group to get some rest, then miss something urgent, and a message can go to the wrong chat with one slip.
  • Control over company data: WhatsApp's help pages describe admins for each group. They do not describe a company administrator who can see every group or hold one central archive. Members can generally export a chat as a text file, and WhatsApp itself warns that other users might take screenshots. Any member can turn on disappearing messages unless an admin restricts this, so a record can vanish after 24 hours, 7 days or 90 days.

What do WhatsApp's own terms say about business and internal use?

WhatsApp's terms treat personal use, the Business App and the Business Platform separately, so read them before you rely on any of them for staff communication. In their current versions:

  • Consumer app: the Terms of Service for users outside the European Region say your use must not "involve any non-personal use of our Services unless otherwise authorized by us".
  • WhatsApp Business app: the terms effective September 23, 2026 describe services "designed and developed for small to medium businesses" and state: "Our Business App Services are not intended for intra-company usage." They also make no promise that the services meet the needs of entities with heightened confidentiality requirements, such as healthcare, financial or legal services.
  • WhatsApp Business Platform: the terms describe products that let businesses "interact with consumer users on WhatsApp". We found no mention of employees or internal communication in them. Meta's product page for the Business app also talks about connecting with customers.

What do these terms and privacy laws mean for you?

The practical reading is that WhatsApp designs its business products around talking to customers, and that is where they stay most useful. If customers message you on WhatsApp, keep that going and consider a shared inbox so a team can answer from one number. We did not find a WhatsApp statement on what happens to a company that runs staff groups, so we will not guess. Ask your adviser how the terms apply to your situation.

Privacy law can also apply when staff chats carry customer or employee details. SDAIA says Saudi Arabia's Personal Data Protection Law applies to any processing of personal data and calls for collecting the minimum needed. Jordan's Ministry of Digital Economy says Law No. 24 of 2023 applies to data controllers processing the personal data of citizens and residents. For Iraq, or for anything specific to your company, take local legal advice. This guide is general information and does not replace an adviser.

What does a dedicated team chat add, and what does it cost you?

A dedicated team chat adds work accounts, structure and a history the company can manage. Products differ, so test each of these in the one you are considering:

  • Colleagues find each other by name, so nobody has to share a private number to do their job.
  • An admin can remove one account when someone leaves, in place of hunting through groups.
  • Channels split work by team or topic, and each can be public or private, which keeps sales updates away from people who do not need them.
  • Threads keep a discussion attached to the message that started it, so the main channel stays readable.
  • Search can reach the shared history a channel holds, usually with filters such as person, date or whether a file is attached.
  • Shared files collect in one place per channel, which makes the latest version easier to find.
  • Notification settings let people mute a channel or hear only about mentions.
  • Roles decide who can create and manage channels, so structure does not depend on who happened to start a group.

What are the downsides of moving to team chat?

A team chat has real costs too, and a fair decision counts them:

  • You pay for it, usually per user, and someone has to set up accounts, roles and channels.
  • Staff get one more app to check, and old habits pull them back to WhatsApp.
  • Field staff need it to work on their phones, including when the signal drops, so test this in real conditions.
  • Suppliers and contractors usually stay on WhatsApp, so you will run two channels.
  • You take on data decisions that WhatsApp left to each person, including how long to keep messages and who can read them. Ask each vendor about retention, export and encryption.

How do you move from WhatsApp groups to team chat without forcing it?

Move one team and one kind of message at a time, and let WhatsApp keep the jobs it does well. Banning WhatsApp on day one can push work into private chats where you see even less. This order is gentler:

  • List your work groups, who runs each one and what it is for. Mark each as move, keep or close.
  • Write down what stays on WhatsApp, such as customers, suppliers and a backup contact route if the new tool is down.
  • Start with one team that feels the problem, such as sales and support passing cases between them.
  • Put something people need in the new place first, such as announcements, the current price list or the shift roster. Managers have to post there too, or nobody will open it.
  • Agree a one-line rule, such as: work decisions go in the channel, and quick notices can stay on WhatsApp.
  • When a work question lands in the old group, answer it and point to the channel. Nobody gets told off for it.
  • Run both side by side for a few weeks, then give the group a closing date. Teams that keep going back usually have a reason, so ask what it is and fix it.
  • Before closing a group, save the files and decisions you still need. A WhatsApp export is a plain text file that cannot be imported back, and it may contain personal data, so decide who keeps it.
  • Add chat access and group removal to your leaver checklist, for both the new tool and any WhatsApp groups that remain.
  • Move requests that need a decision into a form as well. Our guide on internal requests and approvals covers leave and purchases.

How does Repzo handle team chat?

Team chat is built into Repzo Workstation, in the same workspace as customer, ticket and project context. Teams get public and private channels, one-to-one messages, group messages of up to nine people, threads, reactions, unread indicators and typing indicators.

Repzo's documentation says search covers messages, channels and people, with filters for channel, author, date and whether a message has a file or link. Each channel has a Files & links tab, and common documents open in a built-in viewer. For working files, Drive shares folders and files with access tied to roles. Mentions can reach a person, a channel or a department, and each channel can notify you about everything, mentions only or nothing.

Permissions decide who can view chat, send messages, and create or manage channels. To offboard someone, use Remove from team. If that person owns records, you reassign them first, so nothing is left without an owner.

A desktop app is available for macOS and Windows, and web push also gives native notifications. The documentation describes use on the phone, with messages waiting in an outbox while offline and sending on reconnect. Field-heavy teams should test this on their own phones during the 7-day free trial.

The public documentation does not state message retention periods, file size limits, whether new channel members see earlier channel history, or whether people outside the workspace can join a conversation. If any of these matters to you, ask our sales team before you decide.

Frequently asked questions

Is it against WhatsApp's rules to run staff groups?

WhatsApp's terms do not address staff groups by name in what we read. The consumer terms restrict non-personal use unless WhatsApp authorizes it, and the Business App terms say those services are not intended for intra-company usage. Ask an adviser how this applies to your company.

Can a former employee still read old group messages after being removed?

Plan as if they can. WhatsApp says removing a member does not delete the group from other members' devices, and its page does not describe clearing it from the removed person's phone. Anything sensitive they already received may stay with them, and screenshots or exports may exist elsewhere.

Can everyone in a WhatsApp group see my staff's phone numbers?

In a regular group, yes. WhatsApp says all members see your number when you are added. In a community, the number is visible only to community admins, people who saved you as a contact and people who have your number from other chats.

Would company SIM cards solve the problem?

They solve part of it. A work number keeps private numbers private and separates work from family chats, and the company can reassign it. You would still have group-by-group admin, no central archive and files spread across phones, and the terms question remains. Hardware and line costs also rise.

How big should a team be before it moves to team chat?

There is no fixed number. Watch for signs instead: people ask for the same file again, nobody can find last month's decision, staff turnover makes removal a chore, or customer details pass through several groups. Two or three of these usually justify a pilot with one team.

Should we stop using WhatsApp completely?

No. Customers and suppliers are already there, and it stays useful for quick contact with people outside your company. You may only need to move internal work, such as decisions, files and announcements, into a place the company can manage.
